2. Information we may collect
Depending on how you use the website, we may collect the following categories of information:
- Contact and identity information: name, email address, telephone number, state, optional home ZIP code, date of birth, firm, and professional role.
- General insurance-planning information: derived age range, prospect type, general protection goal, existing-coverage category, approximate coverage amount, an optional beneficiary name supplied for discussion, preferred contact time, business profile and planning selections, client type, partnership interest, and the contents of an optional message.
- Referral information: a referring professional’s contact information, a referred client’s name and contact information, the general reason for the introduction, and confirmation that the client agreed to be contacted.
- Communication and preference records: requested contact method, appointment details, marketing consent, consent language and timestamp, opt-out requests, and related correspondence.
- Website and device information: requested page, date and time, browser and device type, referring page, campaign parameters, general location derived from an IP address, security signals, error information, and form-delivery status.
- Optional analytics and advertising information: page views, clicks, campaign identifiers, browser identifiers, and conversion events when you accept optional analytics and advertising tools.
We receive information from you, a professional who makes an authorized warm introduction, your browser or device, and service providers that help operate the website, scheduling, communications, CRM, analytics, advertising, and security functions.
The warm-introduction form does not ask a referring professional to provide the referred client’s date of birth or coverage amount.
The optional beneficiary-name field is used only to prepare for your requested insurance review. It does not designate or change a beneficiary on an insurance policy, and we do not use that name to contact the beneficiary. Please do not provide the beneficiary’s contact details, date of birth, Social Security number, or other sensitive information here.
3. Information that should not be submitted here
Public forms are not designed to collect Social Security numbers, banking or routing information, policy-account credentials, full medical histories, prescription or diagnosis details, tax returns, sensitive identity documents, legal documents, or detailed financial-account information. Please do not submit those items through this website, ordinary email, or an optional message field.
If you choose to proceed beyond a general inquiry, underwriting, medical, identity, and financial information should be handled through an appropriate secure agency, carrier, or application process and may be covered by additional notices.
4. How information may be used
We may use information to:
- Respond to a protection-review, policy-review, professional-partner, or warm-introduction request.
- Schedule and conduct requested conversations.
- Route and manage inquiries in an approved customer relationship management system.
- Send requested service communications and, when separate valid consent exists, optional marketing calls or text messages.
- Maintain records of consent, communication preferences, and opt-out requests.
- Measure website use, campaign performance, inquiries, and business outcomes when optional measurement is configured and accepted.
- Detect spam, misuse, fraud, security issues, or technical failures.
- Comply with applicable law, licensing, carrier, agency, recordkeeping, and regulatory obligations.
5. How information may be disclosed
We may disclose information to the following categories of recipients for the purposes described in this policy:
- Service providers and contractors supporting hosting, form delivery, CRM, scheduling, communications, analytics, advertising, security, and technical operations.
- Insurance agencies, carriers, and authorized providers when you ask to proceed with an insurance review or application and the disclosure is appropriate.
- Your referring professional or another adviser when you authorize coordination and applicable privacy requirements permit it.
- Government, regulatory, legal, or law-enforcement authorities when required or reasonably necessary to comply with law, protect rights, or prevent fraud or harm.
- A successor organization in connection with a lawful business transfer, subject to applicable privacy obligations.
We do not sell personal information for money. If you accept optional advertising technology, device identifiers, campaign information, and website interactions may be disclosed to Google or Meta for measurement or advertising. With a fresh acceptance after the September 16, 2026 notice update, LinkedIn measurement may also run on the About page only. The LinkedIn integration is excluded from insurance/intake forms and does not receive their answers or contact details. See the Cookie & Analytics Notice for the data and page restrictions. Some state laws may define optional advertising disclosures as “sale,” “sharing,” or processing for targeted advertising even when no money changes hands. You may opt out by selecting “Essential only,” reopening Cookie Settings, enabling Global Privacy Control in a supported browser, or visiting Privacy Choices.
We do not knowingly sell or share personal information about children or teenagers for targeted advertising.
6. CRM, automation, and warm introductions
Ringy is the current external scheduling, CRM, and website-form delivery provider. The scheduler opens on Ringy’s website rather than loading inside this website. When you submit a website form, the approved information is transmitted through a private server-to-server connection to a dedicated Ringy website lead source for the purpose requested. Its automatic initial text, email, and drip settings remain disabled; any future automation requires the separate consent and suppression controls described here. Ringy processes information under its own terms and privacy commitments.
Warm-introduction submissions are marked for direct follow-up about the introduction only. A referred client is not enrolled in automated marketing through the referral form. Separate valid consent is required before promotional automation may be used.
7. Calls, texts, and email
Submitting a review or partner form asks Celena Doctor to contact you about that specific request. Optional marketing consent is presented separately and is unchecked by default. Marketing consent is not a condition of purchasing insurance. Optional marketing is limited to 4 messages per month; requested-service message frequency varies. Message and data rates may apply. See the SMS Terms.
You may revoke optional marketing consent at any time. Reply STOP to a text, use an unsubscribe method in a marketing email, or contact us using any reasonable method. We retain consent and opt-out records as reasonably necessary to honor your choice and meet legal or recordkeeping obligations.
8. Cookies, analytics, and advertising choices
The website uses essential browser storage for core functions and privacy preferences. Optional analytics and advertising scripts load only when they are configured and you accept them. Global Privacy Control is treated as an “Essential only” choice. See the Cookie & Analytics Notice for details.
9. Data retention
We keep personal information only as long as reasonably necessary for the purpose collected. Our baseline schedule is:
- Successful raw form-delivery logs: generally 30 days after confirmed CRM transfer.
- Failed-delivery, spam, security, and technical error logs: up to 90 days, or longer for an active investigation.
- Website inquiries, referrals, and appointments that do not become an application or client relationship: generally 24 months after the last meaningful activity.
- Privacy-request and appeal records: generally 3 years after closure.
- Covered telemarketing call, text, consent, campaign, provider, and do-not-call records: at least 5 years after the applicable communication, consent withdrawal, or other required date. A minimum suppression record may be kept longer so an opt-out remains honored.
- Insurance application, transaction, and policy records: for the period required by applicable state law, agency rules, carrier requirements, or a legal hold. Florida transaction records are retained for at least 5 years after policy expiration.
- Analytics-level user and event data: target 14 months or the shortest practical configured vendor period.
- Routine backups: target rolling 30-day expiration, subject to documented vendor limitations.
We delete or de-identify information when the applicable period ends unless a longer period is required or permitted for an investigation, complaint, fraud prevention, security, legal claim, agency or carrier duty, or another documented reason.
10. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No internet transmission, storage system, or website can be guaranteed completely secure. If you believe information submitted through the site has been misused, contact us promptly.
11. Your privacy rights
Depending on where you live and whether an applicable law covers the processing, you may have the right to confirm whether we process your personal information; access, correct, or delete it; receive a portable copy; obtain information about categories of data and recipients; opt out of targeted advertising, sale, sharing, or certain profiling; withdraw consent; and appeal a decision on a privacy request.
We do not use website assessments or analytics to make automated decisions that produce legal or similarly significant effects, determine insurance eligibility, or replace carrier underwriting.
Submit a request or appeal through Privacy Choices, email celenadoctor.ffl@gmail.com, or call 561-899-7837. We aim to acknowledge a request within 10 days and respond within 45 days, subject to identity verification, lawful extensions, exceptions, and any shorter deadline that applies. We may ask for information reasonably necessary to verify your identity or authority. Authorized agents may submit a request when applicable law permits. We will not discriminate against you for exercising an applicable privacy right.
Some information may be exempt from a request or retained when necessary for security, fraud prevention, insurance or regulatory recordkeeping, legal claims, or another permitted purpose. If we deny an appeal, you may contact the appropriate state regulator or attorney general where applicable.
12. Insurance and financial-privacy notices
This website policy applies to general website inquiries and related communications. It is not intended to replace any separate privacy notice that an insurance agency, carrier, or other financial institution must provide when an application or customer relationship begins. If you proceed, the responsible organization will provide any additional notice required for its collection, underwriting, sharing, safeguarding, or retention practices.
13. Children’s privacy
This website is intended for adults and is not directed to children under 13. We do not knowingly collect personal information directly from children under 13 through the website. If you believe a child submitted information, contact us so we can review and delete it as appropriate.
14. External links
The website may link to scheduling services, insurance resources, carriers, or other third-party sites. Their privacy and security practices are governed by their own notices and are not controlled by this policy.
15. Changes to this policy
We may update this policy as business practices, technology, vendors, or legal requirements change. The revised date will be posted here, and additional notice will be provided when required.
